What is Kotbeheer?

Kotbeheer is a management app for student rooms for small landlords in Flanders. It helps you manage rooms, students, reservations, rental deposits, payments, contracts, inspection reports and public room listings — in one simple dashboard.

Who is Kotbeheer for?

For small landlords, room owners and property owners with 2 to 8 student rooms per house, with one or more small student houses, and for property managers who manage rooms for different owners in cities such as Mechelen, Leuven, Ghent, Antwerp, Hasselt and Kortrijk.

What does Kotbeheer help with?

With rooms and houses, students and reservations, rental deposits and payments, contracts, inspection reports with photos, incoming student enquiries and a public room website — so you can stop scattered Excel, WhatsApp and email follow-up.

How much does Kotbeheer cost?

You manage your first room free. After that you choose by number of rooms: Kleine Kotbaas €9/month (2€5 rooms), Kotpand €19/month (6€12 rooms), Portfolio €49/month (13€30 rooms or multiple properties) and Rentmeester from €99/month for professional management. The public room page is included in every plan. Prices incl. VAT, no credit card required, cancellable monthly. Pay annually and get 2 months free.

How is Kotbeheer different from a student-room portal?

A portal helps students find rooms. Kotbeheer helps landlords manage the full lifecycle of a room: enquiry, reservation, contract, deposit, payment, move-in, inspection report and departure. So Kotbeheer is not a search portal, but a management app — with an optional public website on top.

Absolutely. You start free with your first room; for 2€5 rooms you choose Kleine Kotbaas, for 6€12 rooms Kotpand.
Yes, with the Room website module. You publish photos, price and availability from the same room data and receive enquiries in your dashboard.

No. You manage everything. Students make an enquiry via your public website without an account.
Yes. Per student you see the status of the deposit, first rent and monthly rent: paid, outstanding or late.
Yes. You store, send and track contracts with draft, sent or signed status. Digital signing is coming soon.
Yes. Store move-in and move-out photos per room and student and compare the condition before and after.
That is on the roadmap. Today you bring website leads and manual enquiries together; WhatsApp and email integrations will follow.
Yes. Kotbeheer is deliberately simple, and you can request free setup: send your Excel and we will prepare your first house.
Yes. Send us your current Excel or list and we will help transfer your data during the free setup.
Yes. If you pay annually, you get 2 months free.
You simply choose the plan that matches your number of rooms: Kleine Kotbaas (2€5), Kotpand (6€12) or Portfolio (13€30 or multiple properties). If you manage for multiple owners, Rentmeester is available from €99/month.
Yes, with the Rentmeester plan you manage rooms for multiple owners with roles, permissions and reporting.
